The VICFS (Vancouver International Children’s Festival Society) is the longest running performing arts festival for young audiences anywhere in the world. This is an exciting opportunity to make an important contribution to BC’s premier cultural event for families, Educators and children.
This full-time contract position starts January 6th, 2025 through to June 27th, 2025. Reporting directly to the Operations Manager, the Volunteer Coordinator (VC) is responsible for implementing the Volunteer program for the annual Festival. The objective of the position is to manage the volunteer requirements/program for the entire festival team.
The VC attends regular staff and production meetings and acts as an advocate of the Vancouver International Children’s Festival Society to educational professionals, arts professionals, various partners and the community at large.
RESPONSIBILITIES:
- Is the primary festival contact for educators & volunteers. The majority of our volunteers are high school students and we recruit through high schools directly.
- Communicates directly with school boards, BCTF, associations, etc for the purposes of relationship-building and volunteer outreach beyond the schools themselves.
- Develop and execute the recruitment and scheduling of volunteers for each annual festival which will include strategies and timelines for communications with teachers in both public and private schools in both French and English.
- Update the volunteer recruitment form and schedule (we use Better Impact Volunteer software- experience with this software is an asset but not required)
- Update and maintain school contacts & volunteer database.
- Gather, develop and distribute festival-related classroom and volunteerism resource materials.
- Working with the Marketing Manager, develop marketing ideas and projects that will build recognition of the festival within the school system for volunteer opportunities.
- Supervise communications between the Festival, educators and volunteers.
- Develop an annual volunteer recruitment plan for up to 450 volunteers ages 15 and above.
- Communicate with the Festival Departmental leaders to confirm their volunteers needs
- Train volunteers to assist with administrative tasks and projects
- Update contact information for individual school career advisors.
- Plan and coordinate all volunteer benefits.
- Support the efforts of the Society and other Society personnel as necessary.
- Attend regular production meetings of the staff and contractors as scheduled.
- Prepare a final report.
- Manage the online spring fundraising auction by requesting donations, gathering information and uploading it to our auction software.
QUALIFICATIONS:
- Proficiency in a Mac environment with knowledge of MSOffice (Word, Excel), email and internet browsers
- Familiar with G‑suite
- Familiar with Better Impact an asset
- Festival or event production experience
- Strong verbal and written communication skills
- Excellent attention to detail
- Excellent command of the English language
- Energetic, fast learner

This position is expected to work from the office 5 days per week and must be available from the beginning of January to the end of June. Office location 1360 East 3rd Ave, Vancouver. We move to Granville Island in May for the festival run.

REMUNERATION:
The position begins January 6th to June 27th, 2025 at the rate of $25.68/hr x 37.5 hours per week.
